Position SummaryThe IT Administrative Assistant coordinates, facilitates, and organizes all activities related to the day-to-day operations and logistics of the Information Technology Department. This individual is also responsible for responding to the ITS Director and other senior managers within the department to aid with scheduling and project needs.
Duties and Responsibilities
- Facilitate IT purchases, tracking all logistical aspects from initial ordering to completed delivery.
- Track annual Hardware and Software Budget renewals and expenses.
- Produce detailed quarterly expense reports for the IT Operating and Capital budgets.
- Track and submit all IT invoices, ensuring they are paid in a timely manner.
- Submit employee reimbursements for all IT Staff, communicate deadlines, and anticipate the needs of the team.
- Coordinate and manage IT travel arrangements, ensuring all aspects of logistics are anticipated, plan detailed itineraries, and request reimbursements.
- Book necessary offices or Flex spaces for off-site team members.
- Maintain calendars for IT Managers, schedule conference rooms, and coordinate Audio/Video services meetings, as needed.
- Prepares reports as needed for CAEP/CACREP and Outcomes Assessment.
- Updates ITS staff member permissions and data in the Banner System.
- Assists with the gathering of data for CAEP/CACREP Accreditation.
- Oversee the procurement and distribution of mobile phones for university faculty and staff.
· Anticipate the needs of IT Managers and be proactive with support.
- Arrange and facilitate department-wide activities such as the annual All IT Meetings.
- Serve as an ambassador for the department and managers to IT guests, vendors, and partners.
Minimum Job Requirements
- High School Diploma or GED; at least 2 years of experience directly related to the duties and responsibilities specified.
- Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications· Associate degree or higher.· Strong technical aptitude. Must have advanced skills in MS Office Apps, including Excel, Word, PowerPoint, Visio, Publisher, and Access.· Must have advanced Excel skills – be able to run sophisticated reports, maintain complex worksheets, use formulas, create pivot tables and charts, etc.· Advanced data presentation skills utilizing PowerPoint and Excel.· Typing skills with at least 50 WPM.· Ability to multitask and prioritize while maintaining a high attention to detail.· Knowledge of general office machines (Copy/Fax/Scan/Computer) and telephone system.· High degree of discretion dealing with confidential information.· Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of clients, attorneys, and staff to provide information with courtesy and tact.· Due to the time-sensitive nature of the work and the limited availability of replacement personnel, regular full-time attendance· Confidence to ask questions and an eagerness to learn new skills.· Other duties as assigned by the employer.

- Must be willing to work flexible schedules as needed.
- Must possess and maintain a valid New Mexico Driver’s License.
- Must be willing to travel.

Pay Rate $42,000.00-$52,000.00/Year
