Job description: Labor CoordinatorThe purpose of this position is to help coordinate logistics and all aspects of labor scheduling.Job Duties:
- Interfaces with project and account executives on crew to ensure events are staffed with the correct caliber of individual.
- Contacts freelancers, temporary employees and CT Technicians to schedule labor by utilizing R2.
- Contacts unions when necessary.
- Agrees rates with crew.
- Maintains extensive and detailed crewing calendar “live” with up-to-the-minute changes.
- Distributes departmental crewing calendar in a consistent and timely manner.
- Establishes and maintains relationships with freelance and vendor contacts.
- Obtains credentials, drive-on/parking, dress code info and any show related specifics, including call times, from all PMs and distributes accordingly.
- Generates detailed show sheets/call sheets/contact lists for each project under direction of project/sales management.
- Is available after hours/weekends to coordinate changes and emergencies with regard to crew.
- Determines whether potential crew should be set up as temporary employees or independent contractors dependent upon the position being filled and required documentation in place to be IC.
- Ensures that all invoices and timesheets are received in a timely manner. Audits invoices and timesheets to ensure accuracy.
- Generates Purchase Orders when necessary.
- Other duties as assigned.
Required Education and Experience
- Associates degree or higher – a combination of education and experience will be considered.
- 3-5 years of experience covering extremely deadline driven office setting: production in film/tv a plus.
- Ability to meet tight deadlines and organize multiple changing priorities at a fast-paced environment.
- Availability for night/weekend contact over peak times
- Demonstrated skills in communication and an ability to interact with a wide range of individuals and personalities.
- In-depth knowledge and operation of computers (mac and PC) and software packages.
- Knowledge or familiarity with broadcast/live events gear, personnel and culture a plus.
- Additional consideration will be given to candidates with an established list of industry contacts / their own database of skilled workers in Video/Audio/Events.
