Job Description:You Are:A resourceful contributor who can excel in a highly visible and confidential position. You are a proactive individual who will serve as liaison and main point of contact to the Board of Directors, CEO, and Corporate Officers for all board communications and meetings. Also provides support to the EVP, Chief Legal Officer, and Corporate Secretary, as well as the legal team, with occasional back-up coverage to the CEO office.You Will:Board of Directors Support
- Coordinate and maintain the Board/Committee calendar.
- Plan, coordinate, and manage all board/committee meeting logistics, director travel, and board material for on-site and off-site board meetings.
- Prepare all board material for the Diligent portal
- Maintain and post all board and Committee material to the Diligent Board portal as the administrator of Diligent
- Prepare and track the Director expenses and ensure they are reimbursed in a timely manner.
- Prepare and submit all invoices in a timely manner
- Track all meeting expenses to ensure all receipts and credit cards are reconciled timely.
- Manage Board related compliance
- Highly flexible and adaptable to change.
- Effectively communicates using sound judgement and discretion while maintaining the utmost of confidentiality
Executive Support for the General Counsel and Legal Team
- Manage a complex calendar the General Counsel. Scheduling meetings, appointments, and travel arrangements for the General Counsel as well as the legal team
- Prepare all forms of documents for the executive. Coordinate internal and external communications on behalf of the General Counsel and legal team.
- Prepare and submit all expenses in Certify to ensure all credit card charges are reconciled.
Your Background:As an Executive Administrative Specialist, you have:
- Experience: 8-10 years of Board and/or CEO or Executive administrative experience supporting senior level executives.
- Flexibility: Flexible and willing to work overtime as needed (incl. nights and weekends).
- Excellent Communication Skills: Strong written and verbal communication skills to effectively communicate with senior executives, board directors, and staff at all levels.
- Organizational Skills: Ability to multi-task and manage multiple priorities, deadlines, and complex schedules with meticulous attention to detail.
- Confidentiality: Handle all board/committee material and sensitive information with discretion.
- Proficiency in Technology: Expertise in Microsoft Office Suite, Outlook Calendar, Certify and Diligent is a plus.
Compensation:The wage range for this position is $44 – $55 per hour, with the actual pay dependent on your skills and experience as they relate to the job requirements.Location:This is a hybrid role, with 4 days in the Stamford, CT office required. (No relocation assistance offered.) Occasional travel,
10% per year.Anticipated Start Date:This role is anticipated to start in mid-July, which will allow the new hire to cross-train with the retiring incumbent during the July board meeting.Sponsorship:Must be legally authorized to work in the US.
