The Washington State Criminal Justice Training Commission (WSCJTC) is seeking a customer service minded, administrative professional with excellent verbal and written communication skills to serve the Applied Skills Training Division (ASTD) as an Administrative Assistant 3. This role will provide administrative support and program coordination for the Patrol Tactics Instructor (PTI) Course required by Initiative 940 and Substitute HB 1064. - Manage the Program Manager’s schedule and keep them apprised of their schedule daily.
- Coordinate with Program Manager for project tracking, deadline setting, distribution of assignments, and status reporting.
- Register participants for courses and close courses using the Acadis platform.
- Schedule and coordinate virtual and/or in-person meetings. This includes setting meetings on calendars, securing meeting location, room set-up, preparing materials, and producing meeting notes.
- Collect required documents for submission in the contract routing process and route for approval.
- Create and maintain contractor files and list of Certified PTI Cadre in accordance with RCW/WAC/Agency policies, procedures, and best practices.
- Assist with developing and maintaining the directory of subject matter experts in de-escalation and mental health professionals.
- Create and maintain contract expenditure spreadsheet ensuring the Program Manager has up to date information regarding program budget and incumbered funds.
- Review draft curricula, training materials, training aids, and tests.
QualificationsRequired Qualifications/Experience:
- High school diploma or GED equivalent.
- Three (3) years progressively responsible administrative, clerical, data entry, bookkeeping, or project management experience.
- Formal education will substitute year-for-year for experience.
- At least two (2) years demonstrated experience in positions requiring flexibility, professionalism, and proactivity.
- Demonstratable high level written and verbal communication skills.
- Proficiency with Office 365 products (Outlook, Excel, Word, Teams, and PowerPoint, Visio)
- Ability to work independently while effectively interpreting pertinent policies and procedures.
- Understanding and support for the agency’s diversity, equity, and inclusion goals.
Preferred/Desired Qualifications:
- Associates degree in English, Business Administration, Communication, Criminal Justice, Paralegal Studies, or similar/related degree plan.
- Three (3) years of progressively responsible administrative, clerical, data entry, bookkeeping or project management experience.
- Experience with technical writing.
- Understanding of WSCJTC mission, processes, and protocols.
- Experience working for a state or local government entity.
- Familiarity with public records rules.
