Therefore, McMillen Health is seeking an Administrative Assistant in the Educational Development Department who will be directly responsible for scheduling meetings and training sessions, coordinating training sessions with third party organizations, inputting tasks into Monday.com, ensuring timelines are adhered to for each project, and maintain organized project files.The position requires a valid driver’s license.Job Summary:
The Administrative Assistant in the Educational Resource Development Department will provide essential administrative support to the team, ensuring efficient operations and effective project management. This role involves coordinating schedules, managing communications, organizing documents, and assisting with the development and distribution of educational materials.This is a full time, 12-month hourly position and reports directly to the Director of Educational Development and Implementation.***Please note, this position works with our , not our K-12 Preventive Health Education Programs.Key Responsibilities:
- Provide administrative support to the Educational Resource Development team, including scheduling meetings, preparing agendas, and taking minutes.
- Coordinate logistics for training sessions, workshops, and community events, including venue arrangements, equipment setup, and participant registration.
- Maintain organized records of educational resources, project files, and resource inventories, ensuring easy access and retrieval.
- Assist in the development and formatting of educational content, designed resources, presentations, trainings, and promotional materials, adhering to brand guidelines.
- Enter project goals, tasks, and timelines into Monday.com and ensure goals and timelines are met for each project.
- Manage departmental communications, including responding to inquiries, drafting correspondence, and maintaining the team’s calendar.
- Collaborate with other departments to facilitate cross-functional projects and ensure alignment with organizational goals.
- Perform general office duties, such as ordering supplies, maintaining equipment, and ensuring a clean and organized workspace.
- Support the team in tracking budgets and expenditures related to educational projects and events.
- Other duties as assigned by Director of Operations and Sustainability and CEO.
Qualifications:
- Associate’s degree in Business Administration, Education, Health Promotion, or a related field preferred; equivalent experience will be considered.
- Previous administrative experience, ideally in a nonprofit or educational setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools. McMillen Health utilizes Monday.com for project management.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks effectively.
- Strong verbal and written communication skills, with the ability to interact professionally with diverse stakeholders.
- Ability to work collaboratively in a team environment while also being self-motivated and proactive.

The potential candidate would be responsible for securing health insurance.Compensation Package includes:· Hourly: $18-$21/hr.· Paid Time Off (PTO): Accrual rate of .0385 with ability to earn 10 days of PTO in years 1-3.
