Job Openings: This recruitment will be used to fill two LAP I positionsJob Duties

• Provide exceptional customer service, in the spirit of a public servant, to visitors and callers, while relaying information in accordance with PAO policy.
• Direct calls to appropriate individuals/units within the office or refer the caller to external resources or partner agencies.
• Maintain a high level of discretion, tact, and confidentiality when working on highly sensitive subject matter and/or material.
• Professionally interact with the public, law enforcement officers, defense attorneys, judges, court staff, and PAO colleagues.
• Utilize the PAO case management system, Prosecution by Karpel (PbK) to look up basic information and upload documents as requested.
• Read criminal cases, with an attention to detail, to determine victim information: annotate information into PbK; produce and distribute victim notification packets, and letters.
• Monitor and address shared queues in PbK.
• Process Special Sexual Offender Sentencing Alternative (SSOSA) reports and Special Assault Unit (SAU) declines.
• Complete Domestic Violence (DV) Info Net reporting.
• Provide administrative duties for U-VISA processing.
• Maintain and update the Victim Assistance Unit (VAU) reception manual.
• Help to train new VAU personnel.
• Manage parking validations for victims and witnesses.
• Electronically filed documents through the Superior Court Clerk’s Office online portal.
• Assist supervisor, paralegal(s), and Restitution Investigators with additional PbK entry and other duties as assigned.
• Monitor, distribute, and scan a large volume of US mail, emails, and faxes received.
• Order and maintain office supplies.
• Manage office equipment (e.g., computer, fax, copy and printer machines, including the distribution of delivered toner and scheduled pick up for toner recycling.
• Assist with special projects as they arise.
• Actively participate in PAO equity work, attending equity trainings and discussions, support for the PAO’s Equity and Social Justice police and principles, work with PAO colleagues and management to identify opportunities for improvement.
• Additional responsibilities and tasks may be incorporated, or existing ones modified, as business needs evolve.

Experience, Qualifications, Knowledge, Skills

• Knowledge of general office principles and procedures, particularly in the criminal justice system.
• Ability to manage tasks from beginning to end, obtaining all information needed for completion.
• Skills in using computers and the ability to become proficient in the use of database programs such as PbK (with training), Word, Excel, Adobe Pro, and Outlook.
• Skills in organization to appropriately prioritize and complete a variety of tasks in an accurate manner with frequent interruptions.
• Customer service skills in person and via phone (discretion, patience, etiquette, professionalism).
• Ability to assist individuals that may be in crisis.
• Experience working independently or as part of a team.
• Skills exercising initiative and following through with work assignments.
• Demonstrate predictable, reliable, and timely attendance.
• Follow written and verbal directions and complete assigned tasks on schedule.
• Learn from directions, observations, and mistakes, and apply procedures using good judgment.
• Ability to meet deadlines with attention to detail and to assume unscheduled and unexpected responsibilities.
• Ability to accept supervision, coaching and feedback.
• Knowledge of the criminal justice system and general office principles and practices.
• Ability to communicate effectively and follow written and verbal directions.

• Skill in exercising tact, courtesy, and judgment with individuals from a variety of backgrounds.
• Knowledge of the criminal justice system and the PAO is a plus, but not required.
