- Handle strict confidential and high-volume calendar management for SVP & Chief Commercial Officer.
- Anticipate and initiate appropriate actions to conserve the leader’s time (e.g. handle schedule’s, manage access, respond and screen routine and complex e-mails and phone calls).
- Organize, coordinate, and maintain multiple calendars assembling major deliverables such as, Board Meetings, company meetings, conferences, and functions.
- Strong attention to detail, problem solving and organizational skills.
- Strong knowledge Microsoft Office Suite (i.e. Microsoft Outlook, Word, Excel, Power Point), SharePoint and cloud-based applications such as Workday at a high level of proficiency.
- Create Board of Directors and ELT presentation decks as well as those intended for external communications.
- Manage and maintain appropriate business files, ensuring adherence to corporate document retention policies and practices.
- Draft, edit and/or assist with written and verbal communications on behalf of SVP matching communication style to the specifics of the setting, situation, and audience (BoD, ELT, Enterprise, Department, Team)
- Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner.
- Strong knowledge of company databases, enterprise structure and standard operating procedures.
- Able to prepares and revise documents for use by senior and executive leaders.
- Experience with presentation preparation required.
- Demonstrated ability to recognize and work with complex and confidential information in a professional manner, including, company materials and financial matters.
- Demonstrated ability to prioritize, organize and coordinate work effectively in a proactive and resourceful manner.
- Requires flexibility to adjust work hours to support and accommodate People Leader as needed, including during evenings and weekends.
Who you are:You have:
- 5+ years of secretarial/administrative work experience along with an administrative certification or equivalent experience (e.g., spreadsheet/database management, accounting and business math, business communications)
- A high level of discretion, tact and diplomacy in dealing with internal and external contacts, and confidential or sensitive information
- High degree of attention to detail, problem solving and organizational skills while working independently with minimal supervision to manage multiple tasks using efficient time management
You can:
- Manage and coordinate multiple calendars while also being able to prioritize, organize and coordinate work effectively in a proactive and resourceful manner
- Exercise excellent interpersonal skills and demonstrate the ability to work with employees at all levels within and outside the organization in a highly professional manner in addition to collaborating with the administrative assistant team
- Create and manage materials at the Board level while recognizing and working with confidential information in a professional manner, including such areas as Human Resource matters, company materials and financial matters
You are:
- An excellent written and verbal communicator with strong presentation creation skills along with the ability to prepare and revise documents for use by senior and executive leaders and also prepare correspondence using excellent grammar, spelling, punctuation and proofreading skills
- Able to network and use a variety of internal resources to get things done in a fast paced and demanding work environment where you will maintain and demonstrate current knowledge of Enbridge enterprise organization and business operations
- A strong user of the Microsoft Office Suite (i.e. Microsoft Outlook, Word, Excel, Power Point), SharePoint and cloud-based applications such as Workday at a high level of proficiency with strong knowledge of company databased, enterprise structure and standard operating procedures
