- Conducts daily administrative activities to assist the Nutrition Program Manager and staff in the unit.
- Assists Nutrition Program Manager and other Nutrition Program staff, as directed in providing technical assistance regarding program reporting and invoicing. Maintains invoice and other contract records and organizes all ACFP contract files. Assists with tracking contracts and ensuring required attachments are returned by the providers.
- Processes new ACFP provider applications and maintains a list of potential providers who have contacted the unit.
- Maintains contact list of service providers for all unit programs.
- Provides callers with assistance and information concerning Nutrition Unit programs and services. Reviews and responds to correspondence received from constituents inquiring about programs and services. Prepares mail-outs as required.
- Arranges meetings and conference calls for program directors as necessary. Ensures all participants are notified and space is reserved. Attends meetings and prepares minutes as requested.
- Accesses monthly expense budget reports and prepares and reconciles budget reports depicting status of expenditures for review by program directors.
- Responsible for the timely processing of travel requests and reimbursement vouchers. Makes travel arrangements for staff as requested. Maintains unit calendar detailing travel and other program activities.
- Maintains adequate stock and manages ordering of supplies and other purchases for the Nutrition Program. Prepares purchase orders.
- Conducts property inventory on an annual basis. Compile and reconcile inventory reports on a timely basis.
- Performs other duties as assigned by the supervisor.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
- Must be able to understand and apply laws, rules, regulations, policies and procedures.
- Strong communication skills, both verbal and written, required for correspondence, report writing and communicating with the general public.
- Competence with Microsoft software, Internet experience.
- Knowledge of Statewide Travel Management System (STMS) is preferred, some travel required.
REQUIREMENTS:
- Valid Florida Driver’s License.
