Dept./School: CTE Department (MDLC) Days/Dates: 226 (07/01/2025 – 06/30/2026)Primary Purpose: Assist the Director of Career and Technical Education in daily operations, maintaining and managing budgets, placing and processing purchase orders, and clerical services.Qualifications:Education/Certification:
High school diploma or GEDSpecial Knowledge/Skills:Demonstrate the ability to handle multiple tasks at the same time and deal with timelines.Ability to demonstrate positive communication with the community, staff and business partners.Telephone skills, computer organization and calendar management.Proficient typing, keyboarding, and file maintenance skills.Ability to use personal computer and software to develop spreadsheets, databases and word processing.Experience with budget, requisitions, ordering, record keeping, field trips and travel.Experience with MS Excel, MS Word and PowerPoint and Canva.Must be able to operate office equipment (i.e. computer, fax, copier and telephone) with a reasonably high degree of proficiency.Valid Texas driver’s license with driving record that meets District requirementsExperience:
Three years secretarial experience, preferably in a public education environment and in a CTE environmentMajor Responsibilities and Duties: * Provides administrative secretarial support to the Director of Career and Technical Education.
- Maintain Multiple CTE budgets- balance all accounts and prepare financial reports when requested.
- Prepare/process purchase orders.
- Create, modify and maintain physical and computerized departmental files to include employee records and department inventory.?
- Manage and complete reconciliation of the department P-cards.
- Process the ordering of supplies for department and coordinate incoming supplies and equipment.
- Meet regularly with CTE Director to review budget activity.
- Compile pertinent data as needed when preparing various state, local and district reports.
- Demonstrate sound judgment in disseminating information and maintaining confidentiality at all times.
- Prepare documents and maintain files.
- Prepare correspondence, memorandums, forms, requisitions, and reports for the CTE office.
- Be able to multi-task several projects at once.
- Assist in setting up professional development days for the CTE department.
- Assist in gathering certification
- Coordinate travel for the CTE department to professional development conferences.
- Coordinate travel for CTE Student Organizations to local, state and national competitions.
- Maintains staff development records, department files and travel records.
- Perform other duties as assigned.
