This temporary position is located in Raleigh, NC – Wake County.Job Order Hourly Rate of Pay: $23.50 (Based on education and/or years of relevant work experience reflected on the application). This temporary position will be assigned to the Department of Health and Human Services. This position is located at 820 S Boylan Ave, Raleigh, NC 27603. The Administrative Assistant is based within the State Refugee Office under the supervision of the State Refugee Coordinator. This position will work with SRO staff and contracted Refugee Service Providers to ensure efficient and effective operations and oversite of processes. Work ranges from standardized office support assignments to supervision of operational systems and processes involving decision making and judgement. Public contact is a major component of this role, to both internal and external stakeholders including refugees, refugee service providers, state and county staff, employment providers, and the general public. This position coordinates a variety of tasks included in office coordination and operations, responsibilities include:
- Prepare, review and submit contract documents
- Facilitate various systems to track processes and progress on various programs, support accurate date entry in RIS
- Audit reimbursement reports and maintaining spreadsheets on fiscal processes
- Arrange State Refugee Office meetings, Management of calendars, appointments, and scheduling.
- Maintain travel expense reports for Assistant Division Director and section staff; makes travel arrangements as requested
- Provide administrative/clerical support to State Refugee Coordinator, as well as other SRO staff as needed
- Prepare, file, and distribute materials from typed, handwritten or verbal instructions providing a variety of forms and documents within a given deadline
- Serve as the main initial point of Contact for the State Refugee Office, and will answer or direct inquires as appropriate and necessary.
- Uses all software applications in Microsoft Office Suite to complete various assignments and/or develop statistical reports and presentations as requested
- Other Duties as Assigned
