To learn more about us, please visit our website http://texasseagrant.org/.What We WantThe Administrative Coordinator II, under direction, is responsible for providing administrative support for the Galveston Offices of Texas Sea Grant (TXSG), as well as document support to the Interim Director of Texas Sea Grant. Responsible for providing front-office reception services, support TXSG staff at events, and support the Texas Sea Grant Extension team in a limited capacity. Responsible for hiring, training, developing, and supervising student assistants who provide office and TXSG programs support. Responsible for logistics related to TXSG Galveston campus facility issues (room reservations, parking). Exercises discretion and independent judgement with respect to matters of significance.What You Need To KnowCompensation will be commensurate to the selected hire’s experience.A cover letter and resume are strongly recommended.QualificationsRequired Education and Experience:Bachelor’s degree or equivalent combination of education and experience.Three years of related experience in office administration or project management, including some supervisory experience.Required Knowledge, Skills, and Abilities:Knowledge of word processing, spreadsheet, database, and presentation applications.Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgement and initiative.Ability to multitask and work cooperatively with others.Interpersonal and communication skills.Planning and organization skills.Preferred Qualifications:More than three years of office administration experience.Ability to cultivate and maintain professional working relationships.Ability to organize and prioritize work activities.ResponsibilitiesAdministrative Support for the Interim Director, Texas Sea Grant- Provides administrative support to the Interim Director, Texas Sea Grant. Handles document flow through applications such as Adobe Sign, facilitates travel arrangements, reimbursements, and coordinates general administrative tasks. Provides back-up administrative support to other staff in the Texas Sea Grant Galveston Offices.Administrative Staff Management/Student Management/Front Office Management- Serves as the front office manager and ensures the efficiency and effectiveness of the front office operations, through coordination and management of administrative staff/student assistants. Hires, mentors, trains, develops, evaluates, and supervises the work of administrative staff/student employees, reviews work product quality and tracks completion. Recommends relevant training and monitors administrative staff/student assistant progress. Facilitates a division mentorship plan (optional for student assistants) related to the career field for each student. Facilitates day-to-day operations and administrative support duties within the front office. Serves as the primary information resource for the OVPR front office regarding day-to-day operational questions and activities including space, equipment, security, and business-related matters. Develops, evaluates, and ensures adherence to front office procedures. Makes recommendations for process improvement and administrative changes. Maintains student employee and front desk manuals.Events Coordination- Plans, and implements office and program events. Obtains budget information related to event and secures appropriate approvals. Handles all logistics, working with internal and external vendors/suppliers. Coordinates with respective units for communications and marketing of events. Acts as primary contact with Transportation Services for parking validations for the division.Texas Sea Grant Extension Team Support- Provides administrative support to Texas Sea Grant Extension Team. Facilitates communication, sets up in-person and virtual (Zoom) meetings, arranges for food/beverages as needed, provides support for annual retreat, to include processing of post retreat documents.Management of Work Orders/Supply Orders/Misc. Facilities- Coordinates work orders for office maintenance items and submits work orders for telephone changes. Coordinates AggieBuy utilization required to order respective supplies, tracking of receiving items, and billing of items. Resolves issues with TXSG Galveston Office equipment such as Xerox copier, kitchen equipment, billing concerns. Completes records retention.
