As the company continues to grow and take on multiple concurrent projects, they require additional support to ensure seamless project administration and bidding processes. This role exists to streamline the acquisition and organization of project documentation, prepare bid packages, and facilitate communication between internal teams and subcontractors. By hiring for this position, the company aims to maintain its high standards for efficiency, accuracy, and client service across all projects.The Impact you’ll makeProject Coordination
- Attend and take notes during pre-bid meetings
- Manage and organize project-related documents
- Coordinate with internal teams and supervisors for project updates
Bid Process Management
- Prepare and distribute bid packages to trades and subcontractors
- Perform timely follow-ups on sent bids and documentation
- Compile and track responses from subcontractors
Multi-Project Oversight
- Support multiple projects simultaneously, ensuring accurate and up-to-date records
- Prioritize tasks across various assignments to meet deadlines
Communication
- Maintain clear, regular communication with supervisors and team members via WhatsApp
- Provide status updates and flag any issues promptly
Documentation & Reporting
- Ensure all bid and project files are accurate, complete, and organized using Microsoft Office and Adobe Acrobat
- Assist with additional administrative tasks as needed
Skills, Knowledge and ExpertiseRequired:
- Prior experience in construction estimating or a related field
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience using Adobe Acrobat for document management
- Strong written and verbal communication skills
- Ability to work 9 AM to 6 PM EST (40 hours per week)
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
