The administrative assistant reports to the Head of School (HOS). Hours are M-F -7:30 AM – 4:00 PM as well as board meetings and any as assigned by the HOS and Administration.Major FunctionAdministrative Assistant to HOS and the Administration TeamDuties as assigned by the Head of School, Principal, and Administrators such as:o Write and edit emails, create memos,and prepare additional documentsto be sent out by the HOS and the admin team.o Maintain the HOS’s day-to-day calendar, including appointments,teacher observations, staff meetings, and prioritize the most importantmatters.o Organize meetings including scheduling, sending reminders, organizingany necessary documentation, and sending follow up communications.o Answer all incoming calls for the HOS, relay any pertinent informationto the HOS, and either schedule a meeting or follow-up call.o Plan for any important guests of the HOS/school; prepare meetingspace and any documents needed.o Provide all communication, as the HOS directs.o Any other duties as assigned.Manage substitute teacher program.o Provide completed and signed paperwork in a timely manner.o Track absences and verify PTOResponsibilities:Articulate and facilitate the implementation of the mission and values of theschool.Safeguard confidentiality of privileged information.Prepare and maintain accurate and complete records and reports as requiredShare the responsibility for the supervision and care of school inventory,proper and safe use of facilities, equipment and supplies, and report safetyhazards promptly.Maintain professional relationships and work cooperatively with Administrators, employees,the community and other professionals.Maintain professional competence through individual and staff training, in-service educational activities and professional growth activities.Assist with tracking in service and professional development tracking.Respond & Resolve administrative inquiries and questions.Attend staff meetings and participate on committees within area ofresponsibility.Assist other members of the academic administrative team, including but notlimited to student services director, deans, and academic coaches.Perform other tasks related to area of responsibilities as requested orassigned by HOS.Provide backup support for the receptionist, front office, and health & wellness coordinator.Check assigned email inboxes for important updates and parentcommunication.Any other duties as assigned.Minimum QualificationsRequired:Proficient computer skills, strong organizational and communication skills (both written and verbal) & attention to detail.Excellent decision-making, time management and problem-solving skills.2+ years experienceAbility to meet deadlines, work on multiple projects, multitask, prioritize and coordinate the work of others.The organization is an equal opportunity employer.
