Job description: Ohio Department of Public Safety – Ohio Investigative UnitReport in location: 1970 West Broad Street, Columbus, Ohio 43223Work hours: 8:00 AM to 5:00 PMUnder the general supervision of the Ohio Investigative Unit (OIU) command staff, performs non-routine administrative tasks:– Independently formulates decisions &/or judgements involving non-legal interpretation of policies & procedures in order to resolve problems: Prepares correspondence &/or reports;
– Serves as liaison between administration & district offices; Communicates decisions, directives &/or assignments to appropriate staff; Represents division &/or agency at meetings &/or conferences, organizes & schedules conferences & events;
– Prepares, submits, & records 61b investigation requests;
– Processes division credit card requests, payments, & records for travel expenses & supplies;
– Serves as assistant liaison with Liquor Control Commission;
– Processes out of state travel requests;
– Plans, submits, & tracks all activities in training campus;
– Prepares, tracks, & communicates information regarding administrative investigations & discipline & schedules associated hearings;
– Prepares, tracks, & communicates information on behalf of OIU to ODPS Human Resources;– Reviews & summarizes reports on operations, fiscal &/or personnel activities, etc.;
– Makes recommendations & assists in developing new procedures & programs;
– Completes & processes court orders to seal & expungements; Assists with follow-up & associated paperwork for confidential investigations;
– Processes information &/or case requests from other agencies; Assists with correspondence, watch notifications, & referrals; monitors long-term case follow-up;
– Enters information into employee repository information system (ERIS);
– Tracks & follows-up on employee training & records;
– Prepares, gathers & assists with Commission on Accreditation for Law Enforcement Agency (CALEA) proofs;
– Performs public relations duties; Researches & responds to inquiries & complaints, furnishes information & explains programs to the public;
– Assists with public records requests (e.g., processes initial request; routes request to proper section; assists with fulfillment of request; ensures timeliness of response, etc.);
– Researches & prepares data for budget inclusion; Assists in writing budget justification;
– Works on special assignments & projects as directed;
– Prepares reports, publications, memos & presentations for dissemination outside work unit;– Receives, opens, logs, & distributes incoming mail; Answers phone & screens calls; Maintains inventory of general office supplies & equipment; Tracks & enters requisitions for orders; Coordinates acquisition & maintenance of office machines;
– Prepares records retention & disposal schedules & arranges record transfers; Produces typed materials, mailings & certificates;Performs secretarial tasks:– Handles & maintains fleet information;
– Prepares confidential correspondence &/or reports; Maintains confidential files;
– Maintains calendar &/or makes travel arrangements for supervisor &/or OIU employees; Enters & tracks travel expenses;
– Takes & transcribes dictation &/or minutes of meetings;
– Prepares payroll reports &/or timesheets;
– Assists with recruitment efforts for OIU by collecting, corresponding, & contacting individuals interested in employment with OIU & relaying employment information;
– Handles sensitive telephone calls; Routes calls to appropriate parties for response;
– Performs other related duties as assigned.Qualifications30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.-Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.-Or 12 mos. exp. as Administrative Professional 2,16872.-Or equivalent of Minimum Class Qualifications For Employment noted above.Job Skills: Administrative Support/ServicesTechnical Skills: Administrative Support/ServicesProfessional Skills: Attention to Detail
