Job description: JOB OVERVIEW:The Administrative Assistant – HR and Recruiting plays a critical role in supporting the HR and recruiting functions of the organization. This position is responsible for performing a variety of administrative tasks to ensure the efficient operation of the HR department and to support the recruitment process. The ideal candidate will possess excellent organizational and communication skills, a keen eye for detail, and the ability to manage sensitive information with confidentiality.JOB SPECIFIC DUTIES:HR Support:
- Assist with the onboarding process for new hires, including preparing welcome materials and coordinating orientation schedules
- Maintain employee records and update HR databases with new hire information, changes, and terminations.
- Schedule and coordinate HR meetings, training sessions, and employee events.
- Oversee routine HR correspondence, including internal communications and employee inquiries.
- Assist in preparing HR reports and documents as required.
- Coordinate and schedule HR meetings, training sessions, and employee events.
- Support HR initiatives and employee engagement activities.
- Oversee inquiries and provide information to employees regarding HR policies and procedures.
Recruiting Support:
- Post job openings on various job boards and company career pages.
- Screen resumes and applications to identify qualified candidates.
- Schedule and coordinate interviews between candidates and hiring manager.
- Prepare interview materials and assist with the interview process.
- Track and manage recruitment metrics and provide regular updates to the recruiting team.
- Attend community outreach and hiring events
- Maintain and update the applicant tracking system (ATS) with candidate information and interview feedback.
Administrative Duties:
- Manage confidential information with discretion and professionalism.
- Assist with special projects and perform other duties as assigned by HR and Recruiting manager.
- Manage and organize HR files, records, and documentation.
- Prepare reports and presentations related to HR and recruiting activities.
- Oversee correspondence and communication with candidates and employees.
- Perform general office duties such as answering phones and managing calendars
QUALIFICATION STANDARDS:
- High school diploma or equivalent; associate’s degree or higher preferred.
- Previous experience in an administrative support role, preferably within HR or recruiting.
- Familiarity with HR and recruiting processes and tools.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable using HR software and applicant tracking systems.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks and prioritize effectively.
- Effective communication skills, both written and verbal.
- Prominent level of discretion and professionalism in handling sensitive information.
PHYSICAL INVOLVEMENT:Employee may be required to do the following: climbing ladders, scaffolds, structures, etc. above and below ground level; maintaining balance on ladders, scaffolds structures, etc.; reaching in all directions, handling and manipulating objects and materials; coordinating the movements of eyes, hands and fingers to operate tools and equipment; lifting 30 to 50 pounds from ground level, waist level, and/or overhead; carrying objects, tools, equipment, etc.; standing; sitting; walking; pushing; pulling; bending; kneeling; crouching/squatting; crawling; seeing with or without correction; hearing with or without correction.MENTAL INVOLVEMENT:Employee may be required to do the following: following set procedures and standards; applying basic mathematical skills; planning work and selecting proper tools; comparing and understanding differences in the size, shape and form of lines, figures, and objects; picturing and evaluating solid objects from drawing or diagrams using standards that can be measured or checked, following oral and/or written directions, plans and blueprints; reading; writing; ability to recognize and report safety hazards.WORK ENVIROMENT FACTORS:
- Location: industrial construction sites and/or office environment
- Mobility Barriers to Access Job Site: uneven ground level; obstructed pathways
- Climatic/Environmental Conditions at Job Site: indoor climate; various noise levels caused by tools, machinery, equipment, etc., potential exposure to chemical substances.
