Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.The primary purpose of the Senior Administrative Assistant position is to provide superior complex administrative support of a highly confidential nature requiring independent judgment, initiative, discretion, and a basic knowledge of medical terminology and administrative procedures. Demonstrates a high level of interpersonal and quantitative skills to organize and maintain data, prioritize requirements of multiple faculty and prepare work products within general guidelines. Impacts department efficiency, productivity, and its commitment to patient care, research and education.Key Functions· Provide high level administrative support to critical functions within the department.· Supports three clinical faculty and the department administrator.· Monitors company/center budget activity as assigned.· Establishes priorities and deadlines for completion of projects.· Manages faculty calendars while appropriately communicating with faculty of any date and time conflicts, confirmation of completed requests, and meeting reminders.· Prepare and coordinates travel itineraries for assigned faculty within the Concur System database and ensures timely submissions for reimbursement expense reports.· Maintains & tracks annual EXT hours.· Ensures that all expenditures are processed according to institutional guidelines and that the respective Faculty is reimbursed accordingly.· Assists with the patient care process by handling telephone calls from patients, referring physicians, care centers, new patient referrals, etc.· Block/Unblock Clinical Schedule notifications.· Provides back up supports to all of GHN’s trainee & education program.· Coordinates GHN’s Pathology Conference.· Back up Kronos timekeeper. Updates Web Schedule when needed.· Primary back up: maintaining and updating GHN IP on call assignments in the institutional Web On Call calendar.· Sends GHN’s weekend/weekly IP coverage schedules to our faculty, staff in Endoscopy and other clinical partners in the institution.· Maintains and updates Department directory & phone coverage schedules.· Create and/or format manuscripts, protocols, slides and overheads.· Maintains CV in appropriate institutional format.· Update the Faculty PRS Development Fund expenditures reports monthly.· Uses independent judgment and analysis to gather facts and determine appropriate solutions generally based on past experience and department practice.· Verifies compliance with Institutional requirements, guidelines and policies.Other duties as assigned.
