Duties & Responsibilities
- Maintain APL financial records by tracking and reconciling payments preparing invoices for diagnostic services and locating/claiming ACH/wire transfer payments from APL customers. Analyze lab and project expenses. Oversees the review, approval and reporting of all expenditures; coordination of space and facilities; and the design and implementation of financial and operating systems.
- Use and maintain the lab’s database and accounting software. Keep detailed records and maintain transaction records. Work with accounting department to reconcile monthly budgets and track expenditures.
Provide assistance to PI with grant and proposal budgets. * Coordinate travel arrangements, visa processing support to visitors, DCC processing. Work closely with ACBS Business Staff regarding finance and administrative matters. Utilize the University systems to create and submit all appropriate documentation for travel expenses or expenses incurred for the lab using the University credit card.
- Client service: first line of contact for clients, answer phone calls from clients. Resolve diagnostic issues regarding samples received or billing inquisitions with customers via written or oral communication.
- Work with PI to maintain staffing; appropriate staffing levels.
Knowledge, Skills and Abilities:
- Knowledge of accounting software, preferably Quickbooks
- Ability to create and maintain budgets
Minimum Qualifications
- Bachelorâs degree AND one year of accounting/ administrative/coordinative program experience; OR, five years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.
